Hiring a chalet at the Christmas market

The Antwerp Christmas market is a welcome highlight to warm up the dark winter months. With its chalets filled with, tasty snacks, heart-warming drinks and festive gifts, the Christmas market has become a popular event, attracting about  1.4 million visitors last year, which made it the most successful edition ever.

Dates and opening hours of the Christmas market 2020 - 2021

The Christmas market opens on Saturday December 5th, 2020 and is open every day through Sunday, January 3rd 2021. Winter in Antwerp starts on December 5th, 2020, with all chalets and attractions opening at noon.

Exhibitors may not close early in case of bad weather or too few visitors. This was tried in a pilot project last year but there were always too many closed chalets despite the fact that there were enough visitors. Only in special circumstances can we proceed to early closing and the daily manager will be informed.

Consumption

Registration for the consumption category was possible from 15 June 2020 until 24 July 2020 and has been closed now. You can subscribe to the mailing list so that you will be on time next year. This can be done by sending an email to winterinantwerpen@antwerpen.be.

  • In addition to the usual product offering, there are four new categories this year. Also earlier categories were split or merged to give a new dimension to the Christmas market. An overview of this year's categories can be found below.

Merchandise

Read the user regulations with terms of application and operation before submitting an application. The user regulations contain important information on the application procedure, allocation of chalets, licensing conditions, decoration rules, use of and safety regulations for gas and electricity and disposal of waste.

A jury shall assess your application using the following criteria:

    • Offering of festive/gift items (30 points): explain why your product is suitable for the Christmas market. The jury shall give precedence to items that fit well with the festive atmosphere and to items that cannot be found on a regular market. Examples include handmade, artisan products, candles, Christmas cards, party decorations, arty products, educational games, interior items and jewellery.
    • Originality (25 points): add images or examples of your products to your application. Add a description of your products to your explanation. Original/unique products will score higher than common products.
    • Quality (10 points): provide the necessary images and proof of CE marking or other inspection labels.
    • Varied offering (25 points): are you the first to apply with jewellery to sell? Then  you will receive 25 points. The second will receive 20 points, third 15 points and fourth 10 points. The fifth applicant with the same product offering will receive 0 points. The jury shall compile a list of product types in advance, in order to assess this criterion.
    • Design and presentation of the chalet (10 points): the jury will judge the presentation of the products and the furnishing of the chalet in the Christmas atmosphere on the basis of the submitted images.

Negative experiences at the previous three events (violation of the rules or official reports) may result in points being deducted. Each documented incident shall result in 5 points being deducted, to a maximum of 15 points.  

After assessing the criteria for all applicants, the jury will draw up a points ranking. In the event of a tie, the order in which the applications were received will be decisive. The first applicant in the ranking will be the first to be considered for a permit. You must score at least 60 points to receive a permit.

 

Rental rate for a chalet for merchandise

The rates below do not include VAT. Additional costs, such as for a side hatch, will be charged to the chalet holder. The rates below include electricity usage. In addition, the city will also provide general decoration for the Christmas market, festive music and entertainment.

We do not offer a discount anymore to exhibitors with handmade goods. During the latest editions, chalets where 100% of the items being offered are handmade by the exhibitor or his company were virtually non-existent.

Do you need to apply again each year

For chalets selling food or drink, you must apply again each year. A permit for a chalet selling merchandise can be renewed maximum two times. To be considered for a renewal, you must be awarded 70 points in the assessment of the jury during their unannounced visits to the Christmas market. The distribution of points has changed slightly compared to previous editions.

  • You will only be considered for a renewal if you plan to offer the same products at the next event.
  • You will only be considered for a renewal if your payments have been received on time.
  • The jury will verify that the products you described at the time of application are the same as the products actually on offer (30 points).
  • The jury will verify that the quality of the products on offer is high, For example, whether the products are CE marked, or have another inspection label, or comply with the food safety rules for pre-packaged food  (10 points).
  • The jury will verify that you are following the rules of the Christmas market (20 points).
  • The jury will assess the presentation of your products and the extent to which the chalet complements the festive atmosphere (20 points).
  • The jury will verify that you are cooperative with the organisation of the city of Antwerpen (20 points).

People or companies that are eligible for an extension will receive a separate registration form via email

 

Weekly rental

To give start-ups the opportunity to take part in the Christmas market, a chalet will be available for hire on a weekly basis. Start-ups are businesses that are no more than four years old.

The chalet will be available for rental on a weekly basis at a reduced rate. This chalet is only suitable for the sale of merchandise.

  • Rental is €550 per week (excl. VAT) for a chalet containing 1 table, 2 chairs, basic lighting, a heater, a fire extinguisher and a current limiter with plug sockets.  We only ask that you decorate the chalet on the inside with Christmas decorations.
  • The rental period is one week, including a weekend.  The switch between exhibitors will be on Sunday morning.

Once the application deadline has passed, a jury will assess the applications using a number of criteria. Points are awarded for each criteria. The criteria will be established by the Board on an annual basis and are explained on the application form.

Charity chalet

The City provides a free charity chalet that can be rented per week. This concerns products or services with a non-commercial character. The chalet holder must meet the following conditions:

  • human, social, cultural, educational, sports character or with the aim of defending and promoting nature, or set up in the event of a humanitarian catastrophe / disaster;
  • the charity projects remain occasional.

Requests for this chalet are arranged chronologically by date and awarded proportionately. The jury reserves the right to refuse applications that do not fit in the context of the Christmas market.

  • Only merchandise products can be sold in this chalet, so no consumption on site.
  • Only a deposit of € 50.00 has to be paid. You fill in the form for the charity chalet and clearly indicate that it is a good cause, good motivation is required here.
  • In the chalet is included 1 table, 2 chairs, basic lighting, a heater, a fire extinguisher and a current limiter with plug sockets.  We only ask that you decorate the chalet on the inside with Christmas decorations.
  • The rental period is one week, including a weekend.  The switch between exhibitors will be on Sunday morning.

Dimensions of a chalet

The city provides wooden chalets for rent. A 6 or 9 metre chalet consists of one or more standard chalets linked together without intermediate walls. See the dimensions of a standard 3 metre chalet.

 

How much electricity are you permitted to use

The city of Antwerp supplies electricity to each chalet.

  • For merchandise, consumption is limited to 3600 W per 3 metre chalet (single phase, 16 A/220 V).
  • For consumption chalets, there is 1 connection of 10,000 W (three-phase, 16 A/220 V).

Each chalet is equipped with a current limiter to prevent the maximum consumption being exceeded. In the event that the maximum consumption is exceeded, the supply to your chalet will be disconnected.

Only electrical heating is permitted in chalets. Chalets provided by the city of Antwerp will also be equipped with heaters provided by the city of Antwerp. The chalet holder is not permitted to use (gas) patio heaters, fire baskets or candles in/on/outside the chalet.

 

Are you permitted to use gas?

Gas may only be used for the preparation of catering items. This will be controlled. These stipulations can be found in Article 27 of the user regulations.

 

Attention to moderation of alcohol consumption and to promoting a healthy lifestyle

The city of Antwerp would like to raise attention to moderation of alcohol and to promoting a healthy lifestyle throughout the Christmas market. The city will therefore work with all competent services throughout the Christmas market to ensure compliance with the applicable alcohol laws with specific attention to respect age limits for the sale, serving and offering of alcoholic drinks. In addition, the city will also provide a chalet on all 3 squares serving non-alcoholic drinks and also a soup chalet and a vegetarian chalet. 

As a potential chalet holder, we kindly request your commitment to upholding the applicable alcohol laws. The city of Antwerp will take the necessary measures to communicate these specific areas of attention to visitors to the Christmas market.

 

Decoration

The city of Antwerp shall take care of the general decoration of the Christmas market, as well as decoration of the outside of chalets. Operators shall be responsible for interior festive decoration. Decoration and chalet lighting provided by the city must remain visible at all times, no modifications are permitted to decoration or chalet lighting.

Chalet holders are prohibited from displaying commercial material or advertising on the outside of chalets or on sales hatches. Light boxes, banners, advertising panels and publicity boards, etc. are prohibited. Chalet holders are permitted to attach a maximum of two price lists in A2 format on the sales side of the chalet (except on the sales hatch itself), provided that these lists are free of publicity and advertising. All products and prices must be indicated on this price list.

All decoration inside the chalet must be of a festive nature. Price lists must be clearly legible and be of the same style.

Unauthorised decoration, communication and installations will be immediately removed by the city services. The costs of removal will be borne by the chalet holder. All decoration must satisfy fire safety standards.

These stipulations can be found in Article 34 of the user regulations for the Christmas market.

 

Parking

The city will offer a monthly subscription in a parking garage near the Christmas market. This means that exhibitors can rent a parking space at an attractive rate. A monthly card is not obligatory and the exhibitors have the free choice whether or not to use it. The exhibitors will be informed about it on time.
